BACKGROUND AND INTRODUCTION TO TBI

The Tony Blair Institute for Global Change (TBI) is a non-profit organization that aims to empower political leaders and governments to build open, inclusive, and prosperous societies in an interconnected world. The institute does this by developing policies and advising governments.

TBI’s Burkina project has been supporting the government of Burkina Faso through the presidential programme monitoring office since 2019.

MAIN RESPONSIBILITIES AND TASKS

The Human Capital Development Team is supporting the Office of the President in standing up the Presidential Innovation Hub for Human Capital Development (HCD). This Hub aims to leverage innovations and technologies to address the HCD related challenges of human capital development in the key sectors such as education, health, social protection, and gender promotion.

The Special Projects Assistant to the Presidential Innovation Hub for Human Capital Development will be responsible for providing comprehensive support to the Senior Team and managing the Hub’s operations, including working remotely with various teams.

In this capacity he/she will be responsible for:

  • Provide sophisticated calendar management: Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements;
  • Act as a liaison and provide support to the team. Arrange and handle all logistics for meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes. Adhere to compliance with applicable rules and regulations;
  • Complete a broad variety of administrative tasks that facilitate the Senior Team’s ability to effectively lead the projects, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage report
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Senior Team, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect the project policy;
  • Work closely with the team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a « barometer, » having a sense for the issues taking place in the environment and keeping the team updated. Anticipate Senior Team’s needs in advance of meetings, conferences, etc;
  • Coordinate all Senior Team meetings and retreats and assist with staff meetings and events as needed;
  • Provide « gatekeeper » and « gateway » role, providing a bridge for smooth communication between the Senior Team and staff, demonstrating leadership to maintain credibility, trust, and support with the Senior Team;
  • Manage aspects of Hub’s office services. Evaluate and assist in developing Hub policies and procedures for improved workflow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for the operations of the Hub;
  • Manage information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning;
  • Replenish office materials such as snacks, printer supplies, paper, office supplies, etc;
  • Provide event management support as requested;
  • Provide hospitality to all guests and help to create a welcoming environment;
  • Answer main phone line and respond to inquiries;
  • Process and distribute daily mail;
  • Invest in building long-lasting relationships both externally and internally;
  • Manage petty cash reimbursements and reconciliation;
  • Other projects/duties as assigned for the overall benefit of the organization;

PROFILE

  • A Master’s degree in a relevant discipline with 5 years of relevant work experience;
  • Fluency in spoken and written French required with a proven high level of written and verbal communication;
  • High level of professional competence in spoken and written English;
  • Strong ability to execute work with a diversity, equity, and inclusion lens;
  • Significant executive support experience, including supporting C-level executives. Non-profit board experience is highly preferred;
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials;
  • Strong verbal and written communication skills;
  • Exceptional organizational skills and impeccable attention to detail;
  • High degree of professionalism in dealing with diverse groups of people, including, senior executives, staff, community leaders, donors, and funded partners;
  • Ability to complete a high volume of tasks and projects with little or no guidance;
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround;
  • Able to maintain a high level of integrity and discretion in handling confidential information;
  • Excellent judgment is essential ;
  • Ability to switch gears at a moment’s notice;
  • Thrive in an intense, do-it-yourself, start-up environment;
  • Ability to work well within a cross-functional team environment and diverse communities.
